Background

Background: A Workplace-Based Assessment (WBA) provider has a responsibility to manage and administer various types of assessments for WBA candidates, including, Mini-Clinical Evaluation Exercises (Mini-CEX), Case-Based Discussions (CBDs), Multi-Source Feedback (MSF) or 360 Feedback forms, In-training Assessments (ITAs) and Direct Observation of Procedural Skills (DOPS).

Summary of Work

WBA providers across Australia have to, with precision, schedule, monitor and manage up to 30+ assessments per candidate per assessment period that can range from six months to 24 months depending on the provider. The workload to administer such massive numbers of paper-based assessments by a provider can be overwhelming for the most experienced program coordinator. It is also difficult for assessors to juggle competing clinical commitments with their dedication to participating as WBA Assessors. Candidates are equally committed to successfully completing their assessments and are pressured to respond within designated timeframes in order to stay abreast of their deadlines. This at times can be difficult including forgetting compulsory paperwork, returning signed, confidential assessment forms through the internal or external mail system adding to the stressors.

Summary of Results

The conceptualization, introduction and implementation of online technologies provide blessings for all to keep the records secure and informed. Providers have access in seconds allowing them to track the status and progress of candidates. This can be done 24/7, from any corner of the globe of any mobile device. WBA Providers within Australian Local Health Districts have implemented such a solution to gain the benefits of the ever-increasing technological highway.

Conclusion

This innovative approach has improved efficiencies including timely assessment submission, automated reminders, accessibility of assessments, improved clarity for assessor/candidates and improved cost-saving and time-saving.
